In the View Orders option you can view all order activity that has taken place for your company's Store Builder. When you click on this option, you will see four categories, New Orders, Previously Filled Orders, Unsuccessful Orders, and Incomplete Orders that allow you to retrieve, view and handle the administrative work for your orders. These are explained below. At the end of this document there are field definitions for the comma delimited email file that can be sent to your system if you wish to process and fulfill your orders from another internal/external system.

New Orders

This option lists all new, successful orders that have been received by your company and are waiting to be filled. The system defaults to this option, so you only need to click on the View Orders button and a list of unfilled orders with order number, customer name, date and time of purchase will be displayed. If there are no new orders, a blank screen will be displayed. Orders for Credit Card purchase will be identified with (Credit Card) after the date ordered on. Invoice orders will be identified with (Invoice) after the date ordered on. Orders for Information Requests will be identified with (Information). These same identifications will be carried on the packing slips, which can be used to fill the order or provide information to the customer.

Once you click the View Orders button, you will be taken to a screen that lists all the orders.

The check box on the side is for mechanically processing all or a selected number of orders at one time. The Check All and Clear all buttons will fill or clear the check box. See below for further instructions on Process Selected Orders.

To see the actual order for a customer, click on the View button and your order's packing slip will be displayed. Please note when viewing New orders, the status on the packing slip is Approved (Unprocessed). Also, if an item has been identified as a 'Special', it will appear as part of the description of the item. This can then be used in your fulfillment system to care for the special item. Any additional shipping instructions that the customer has identified will also appear on the packing slip.

Also on this screen, there are three options displayed to the left of the packing slip: 

Print Order - allows your company to print the packing slip for processing and shipping. Printing the order does not show it as filled in the system, you must click on the Order Filled button once the order has been completed.  

Order Filled - by clicking on this button, you will show your order being filled in the system and it will no longer appear on the list of new orders. It is up to your company to decide at what point in your process you will mark an order as being filled. Remember orders will continue to appear on the New Order list until you have completed the Order Filled step. 

Email Order - with this button you can email a copy of the formatted packing slip to a customer and enter the email address, subject and some descriptive text e.g. shipping confirmation information etc.

Ret Orders - by clicking on this button you will be returned to the New Orders screen.   

Process Selected Orders

There is also a box to the left of the View button that can be checked to process multiple orders at the same time. The system defaults to checking all new orders. You may un-select any order by clicking on this button. By checking the orders you wish to process and then clicking on the Process Selected Orders button, a new screen will be displayed showing Process Orders - Email Flat File and Fill Orders. The first box Send Flat File as Attachment to: allows you to enter an email address where a file of order information can be sent for fulfillment. This file can be taken in and processed in your company's system. The second box allows you to mark as filled all the orders included in the file. This will indicate in the Internet Conduits system that the order has been filled and will no longer appear on the New Orders list. Previously Filled Orders

In this option you can view all successful orders that were filled by your company. The default display for the date portion of the screen is 30 days prior to today's date. There is a field for entry of the date and drop down boxes for month and year. If today's date is July 17, 2001, the screen would display the information below. You can enter any date parameters to retrieve orders within the time frame you want. The orders retrieved are between the dates entered. The same date field is used for Previously Filled Orders, Unsuccessful Orders and Incomplete Orders. 

If you wanted to display Previously Filled Orders from June 17, 2001 through July 18, 2001, you would click on the Previously Filled Orders button and then click on the View Orders button and they would be displayed here. If there are no previously filled orders for the time period entered, the screen will be blank. The screen will display information for order number, customer name, date ordered on and date the order was filled.

By clicking on the View button, the Packing Slip order information will be displayed. Please note that on all Previously Filled Orders, the status on the packing slip is Approved (processed on date/time and person who signed in)

Also on this screen, there are three options displayed to the left of the packing slip:

Print Order - allows your company to print a copy of the customer order in case you would want to contact the customer to complete his order or to provide an alternate method of paying. 

Email Order - with this button you can email a copy of the formatted packing slip to a customer and enter the email address, subject and some descriptive text e.g. shipping confirmation information etc.

Ret Orders - by clicking on this button you will be returned to the Previously Filled Orders screen.   

Unsuccessful Orders

In this option you can view the orders where the credit card transaction was declined or errored by the Credit Card Processor. 

The date portion of the screen functions the same way as for Previously Filled Orders. 

If you wanted to display Unsuccessful Orders between April 17, and July 18, 2000, you would click on the Unsuccessful Orders button and then click on the View Orders button. Unsuccessful orders would be displayed here. If there are no unsuccessful orders for the time period entered, the screen will be blank.

In addition to the information listed above, there are 2 additional buttons for each order. The delete button X allows you to delete any unsuccessful orders from the database. It is up to your company at which point you should delete these orders. Once deleted, there will be no way to access these transactions.

There is also a status button that can have two conditions appear:

Declined - the bank has not approved the credit card transaction

Error - there was an error in completing the bank transaction or the customer supplied inaccurate credit card information.

By clicking on the Declined or Error button, the return error message from the bank will be displayed with the actual error and condition codes returned from the bank. These error codes can be viewed to determine the problem the customer experienced with the credit card transaction and your company can determine if you should contact the customer. 

Please note in the case shown below, the status on the packing slip is error.

Incomplete Orders

In this option you can view the orders where the customer did not complete the order. 

If you wanted to display Incomplete Orders between June 17 and July 18, 2001, you would click on the Incomplete Orders button and then click on the View Orders button. All Incomplete orders would be displayed here. If there are no incomplete orders for the time period entered, the screen will be blank. 

The delete button, X, allows you to delete any incomplete orders from the database. It is up to your company at which point you should delete these orders. Once deleted, there will be no way to access these transactions. 

By clicking on the View button, the Packing Slip order information will be displayed.
